Main function of job:
To provide administration
duties within the Applications department.
Main duties:
Maintenance and monitoring of all
departmental and company documentation.
Assistance with the control of the
administration of systems and documentation including Open Options for
Applications, Process and Offshore team.
Administration of shop orders for
Applications and communication of shortfalls and discrepancies.
Typing of all department documentation as
required for Applications, Process and Offshore team.
All Department filing, secretarial duties
general administration.
Raising Purchase Orders for Applications /
welding team, Production, Process and Offshore.
Communication of hire equipment weekly to
Applications / Applications to ensure timely off hire.
Assistance with maintenance and control of
departmental objectives and targets associated with Quality, health and safety
and participation in departmental safety tours.
Booking of all department travel for
Industrialisation, Capex, Process, Inventory Management, Planning,
Applications, offshore and Production.
Organisation of Visas for above departments
as required.
Provide occasional administrative support for
other departments as required.
Liaise with department Manager regarding
coordination and allocation of manning on various offshore campaigns.
Liaise with department manager Process
rep on offshore activities schedule to ensure team are aligned with offshore
activities.
Arrange and communicate weekly offshore
review with department Manager and process. Communicate in the form of weekly
report to the offshore team and Applications Supervision / Manager.
Process of Shepherds Offshore time sheets and
POs.
Payroll administration prep for Applications,
Process and Offshore.
Oversee and maintain relationship
with workwear supplier. Organise distribution of workwear accountable for
leavers garments, new orders pool stock
Qualifications/Experience
Must be IT literate with intermediate to advanced proficiency
in Microsoft Word, Excel, PowerPoint and Outlook
Minimum 5 GCSE’s, including English and Maths
This position requires strong written and verbal
communication skills
3-5 years’ experience and a proven track record in an
administrative environment essential
Experience within a Manufacturing environment preferred
